The challenge

Every client matter at Marketly had its own expenses—court filing fees, travel to depositions, research database subscriptions, client meals, document printing. Tracking these accurately across 8 attorneys and 40+ active cases was a manual, error-prone process that nobody had time to manage properly.

Robert spent hours each month cross-referencing credit card statements with attorney expense logs, trying to match costs to the right client matters. Errors were common, client billing disputes were uncomfortable, and costs were still slipping through. His accountant estimated the firm was under-billing by $3,000–5,000 per month.

What Marketly needed

The firm needed a way to tag every expense to a specific client matter at the point of capture—not during a reconciliation process three weeks later when nobody could remember the context. The tool also needed to be simple enough that busy attorneys would actually use it without resistance.

The solution

Marketly implemented Payflow with custom categories for each active client matter. Every attorney got the mobile app with one instruction: photograph the receipt when you incur the expense, tag it to the client matter.

The AI extracted vendor, amount, date, and category automatically, and attached the receipt to the correct client file. Robert set up automated monthly billing reports for each matter—pre-populated with every expense, receipt, and categorization. What used to take a full day now generated in seconds.
